While using Teravent and its associated services (“the Services”), you must read and understand Teravent’s applicable policies (the “Policies”), including this Teravent Procedure Policy and the Teravent Privacy Policy.

Teravent is committed to maintaining the highest standards of integrity, transparency, and independence in all aspects of its carbon removal registry operations. This Policy is designed to ensure that all Users, Suppliers, Buyers, and stakeholders engage with Teravent in a manner that avoids improper influence, prevents conflicts of interest, and upholds the credibility and trustworthiness of the registry ecosystem.

Teravent Limited is committed to delivering high-quality products and services while ensuring consistency, transparency, and adherence to best practices. This document sets out the principles and procedures Teravent follows to create, implement, and manage procedural documentation. It establishes a structured approach to standardizing operations and aligns with internationally recognized quality management standards, specifically ISO 9001:2015.

This Policy provides guidance on how procedures are developed, enforced, and maintained, supporting Teravent’s broader governance framework and quality objectives across all operational areas.

2. Scope

A procedure is defined as a documented set of instructions that specifies the steps to be followed for a particular process or activity. Procedures provide a standardized approach, ensuring that tasks and operations are performed consistently, effectively, and in compliance with regulatory and internal standards.

This Policy applies to all procedural aspects of Teravent’s operations. This includes, but is not limited to, the development and ongoing management of the Teravent Registry, the Teravent Standard, Protocols, Modules, and other normative documents. It also covers supply- and customer-related processes, internal and external communications, and other organizational areas where adherence to formal procedures is essential.

Teravent’s approach to procedures aligns with ISO 9001:2015, forming the foundation for its quality management system and guiding the development, enforcement, and continuous improvement of all procedures.

3. Development of Procedures

Procedures at Teravent are developed through a systematic and structured process that accounts for the organizational context, stakeholder expectations, and the specific requirements of Teravent products and services. This process begins with the identification of internal and external factors that could impact Teravent’s ability to meet quality objectives.

Teravent considers the needs and expectations of all relevant stakeholders, reviewing their requirements and ensuring that procedures align with these expectations. The scope of each procedure is defined clearly, determining the boundaries of the quality management system and its applicability to specific products, services, and operational areas.

Processes are identified, implemented, maintained, and regularly reviewed to ensure effective operation and control. This systematic approach allows Teravent to manage its quality management system efficiently and to respond to changes in operational or regulatory conditions in a controlled and consistent manner.

4. Documentation and Accessibility

To ensure procedures are effectively documented and accessible, Teravent maintains standardized documentation practices with input from relevant stakeholders. All procedures are reviewed and approved by the Leadership Team before finalization to ensure accuracy, relevance, and alignment with organizational objectives.

Finalized procedures are stored in a centralized, electronic repository, accessible to employees according to their roles and responsibilities. Where appropriate, Teravent uses dedicated software tools to facilitate storage, retrieval, and version control.

Teravent encourages transparency in procedural documentation, promoting visibility across teams so that all employees can benefit from shared knowledge and learnings. In cases involving highly sensitive information, access may be restricted to relevant personnel only, following established security protocols.

5. Training and Communication

Effective training and communication are critical to the successful implementation of procedures. Teravent provides comprehensive training to all employees to ensure understanding and adherence to documented procedures. Training includes guidance on awareness, competence, and the organizational knowledge necessary to execute Teravent processes effectively while safeguarding scientific rigor and operational integrity.

Clear communication channels are established to disseminate procedures and related updates to relevant personnel. Teravent maintains regular dialogue with employees, addressing questions, feedback, and concerns in an open and constructive manner.

Employees are encouraged to report any deviations from best practices or nonconformities to their line managers. If direct reporting is not appropriate, concerns can be raised to the Head of Policy or the Chief Executive Officer, ensuring that corrective actions can be discussed and implemented promptly.

6. Quality Control Mechanisms

Teravent enforces its procedures through robust quality control mechanisms aligned with ISO 9001:2015. These mechanisms ensure that products, services, and processes conform to Teravent’s requirements and support continuous improvement.

Documented information is maintained to demonstrate compliance with established requirements, while procedures for document control ensure proper identification, format, and secure management of records. Operational planning and control are embedded in Teravent’s processes, ensuring that risks and opportunities are addressed systematically.

Design and development procedures are maintained for key products and services, such as the Teravent Registry, Standards, and Protocols, ensuring alignment with normative requirements, regulatory obligations, and organizational objectives. Products and services are released in a controlled and staged manner, with complete documentation retained for accountability and traceability.

Teravent also ensures that any outsourced processes or services are appropriately controlled. External providers are subject to technical review, including assessments of cybersecurity and operational risks, to confirm compatibility with Teravent’s quality requirements. Customer communications, inquiries, and contract management are conducted following clearly defined procedures to maintain consistency, accuracy, and accountability.

7. Continuous Improvement

Teravent is committed to continually improving its quality management system and associated procedures. Senior management takes accountability for ensuring that the quality management system remains effective, aligned with organizational objectives, and supports continuous improvement initiatives.

Team leaders conduct regular reviews of project and policy performance, identifying areas for improvement or nonconformities. Recommendations for corrective actions are promptly discussed and implemented, ensuring that lessons learned are applied across the organization.
